Gender Reveal Planning Timeline: What to Do and When

Use this timeline as a starting point and adjust based on your reveal size and whether you’re hosting at home or at a rented venue.
6–8 weeks before
- Decide how you’ll learn the result (ultrasound, blood test) and who will know it ahead of the event, if anyone.
- Choose your reveal method (smoke, confetti, balloons, food, etc.) — see our ideas for options.
- Set a guest list and choose a date.
- If hosting somewhere other than home, book the venue.
4 weeks before
- Send invitations, digital or physical.
- Order any specialty items that take time to arrive (custom balloons, printed decor, reveal cannons).
- Confirm who is preparing the reveal result (doctor’s office, lab, or a trusted friend/family member) and how it will be delivered to whoever executes the reveal moment.
2 weeks before
- Confirm food and drink plan.
- Do a supply check against your safety checklist and reorder anything missing.
- Plan your weather backup if you’re hosting outdoors.
1 week before
- Confirm headcount for food planning.
- Charge cameras/phones and assign someone as the designated photographer or videographer for the reveal moment specifically.
- Do a dry run of the reveal mechanism if it involves any assembly (confetti cannon, balloon box, etc.).
Day before
- Prep food that can be made ahead.
- Set up decor that doesn’t need to be fresh (balloon arches, signage).
- Stage the reveal moment area and do a final safety check.
Day of
- Set up food and any last-minute decor.
- Brief whoever is triggering the reveal moment on timing and cues.
- Designate a cleanup zone in advance so post-reveal cleanup is quick.
